The Office Administrator will have good communication, organisational skills and a strong work ethic where they will need to be an adaptable.  They will be part of a regional HR and office team and we are looking for someone who is highly motivated, proactive and is keen to learn in a fast paced environment.

Key Responsibilities 

• Provide full administrative support on a day to day basis to the office and other ad hoc duties across the region
• Answer incoming calls and manage receptionist related duties like greeting visitors and manage deliveries appropriately
• Support HR administration as guided by Human Resources Manager
• Conduct basic source and research with various suppliers/vendors and conduct cost comparison
• Track and initiate visa renewals and prepare related letters
• Support office events and activities as required; provide office admin cover during leave of admin team
• Provide cover to Executive Assistant on rest days
• Prepare travel budget reports and other reporting using internal systems; prepare and track spreadsheets as needed
• Maintain pantry and office stationery orders and supplies
• Arrange travel and accommodation for internal visitors as needed

 
Desired Skills and Experience

• Preferably degree qualified
• Graduate caliber preferred with a minimum of one to three years’ of relevant experience ideally working in a HR/office administration capacity
• Strong team worker, shares good ideas and best practice
• Excellent attention to detail but able to work at a fast pace, dynamic and changing environment
• Proactive and able to work on own initiative and autonomously
• Able to handle a high volume workload  
• Flexible, ‘can do’ attitude, customer focused and friendly
• Strong communications skills in English and Mandarin
• Proven experience of devising and maintaining administrative systems and procedures (HR system experience desirable).
• Ability to demonstrate planning and show good initiative
• Experience of working with sensitive and confidential data
