Ascential are looking for an Personal Assistant to start asap in a full-time permanent role.  This role reports directly to the Chief Digital Officer and Director of Strategy.
 
Key responsibilities of this role will be to provide administrative support to the above, providing extensive diary management and general administrative duties.
 
Key tasks include:
  • International diary management, acting as a first point of contact for both internal and external meeting requests
  • Meeting and greeting visitors to the office
  • Arranging international travel and accommodation, producing associated itineraries if required
  • Assisting reporting requirements, ensuring accuracy and by required deadlines
  • Dealing with I.T. requests and issues
  • Assisting new starter onboarding within the team
  • Management of administrative duties on behalf of the execs ie. Submitting & approving: holiday; expenses; performance reviews; POs/ invoices
  • Organising regular team meetings and taking minutes if required
  • Cover of other PAs and EAs across the business
  • Organisational management of offsite meetings and events
  • Acting as an ambassador of the executives: dealing with sensitive matters confidentially; behaving in a loyal & professional manner within the workplace at all times; and having a welcoming approach to members of staff
  • Element of office management & improvement initiatives required for one central London satellite office
  • Travel and based between two offices in central London; with occasional travel to other central London offices (currently Paddington & Holborn)
  • Management of occasional ad-hoc projects
  • Ad-hoc tasks for wider CDO & Strategy sub-teams
  • Occasional support with PowerPoint Presentations and Excel spreadsheets

  • Have tact and diplomacy in dealing with colleagues who seek time with all Line Managers so as to eliminate unnecessary meetings where possible but without making them inaccessible to staff

  • Ability to adapt to a corporate environment essential as well as take a more informal approach when appropriate (previous experience desired but not imperative)
  • Microsoft Office skills imperative
  • 3 years working experience minimum, PA experience desirable
