Executive Assistant (Auckland)

We are looking for an experienced and exceptional Executive Assistant to provide high level of support for our Director – Transport and Head of Clients.

To be successful in this role, you will thrive in a busy and collaborative environment, be very proactive and organised and understand the need for high levels of confidentiality.

The Role:

Provide extensive diary and travel management
Determine priority of incoming communications
Build and maintain strong relationships with internal and external stakeholders
Preparing financial and management reports; proof reading, formatting and drafting
Process invoices, expenses, timesheet queries, gather documents for approval
Minute taking from Transport Leadership Meetings and Project Governance Meetings
Support the wider administration team including EA to the Managing Director
Collaborating national Transport Leadership Team including technical directors and client directors

About you:

Proven track record of experience and achievement in a similar support role
Proven experience in supporting multiple executives
Strong proficiency in digital tools and platforms for executive operations, such as Microsoft 365, co-pilot, and workflow automation
Broad knowledge of administration systems and processes including financial management, IT systems and project management frameworks
Excellent relationship management and stakeholder engagement skills
Proven ability to develop trust and credibility at the executive level
Strong communication, influencing and interpersonal skills
Demonstrated experience in travel and diary management
Willingness to work in a flexible and dynamic environment
Have the ability to be agile and adaptable in a fast past environment
Sound problem solving skills
Comfortable working with contracts and detailed tender documents.
